Powerpoint Presentations
All oral presentations should be prepared as Microsoft Powerpoint shows using MS Powerpoint version 1997 or a more recent version. Oral presentations will be in 15-minute slots. The presentation should be 12 minutes long, allowing 3 minutes for questions and moving between rooms. All presentations will be pre-loaded onto conference equipment. No personal laptops will be used - NO EXCEPTIONS.
Please be sure to:
- Embed graphs and figures in the file as independent objects, rather than dynamically linking them from other programs
- Limit file size as much as possible by using images with minimum necessary resolution, etc.
PRESENTATION INSTRUCTIONS
In order to facilitate the smooth running of all the A/V equipment please read and follow these instructions:
REVISED DEADLINE
(1) Due to popular demand, we would like to extend the deadline to Monday, April 4th, for uploading talks via the website. As a last resort, there will also be the option of uploading some talks AT REGISTRATION on Wednesday, April 6th, from 4:00-6:00. Thanks in advance for your cooperation.
Note: We will attempt (without guarantee) to accommodate revised PPT talks on the day of talk but only if (1) a PPT file has already been submitted by the previously announced deadline, (2) the speaker brings the file on a USB drive to the appropriate room by 8:00 am (no less than 30 min before the first talk of that day)."

If it is impossible for you to submit online, you may mail a copy (must arrive by 4 April) on a CD to:

Please write your name and the session you are in on the CD.
2) Although our website did manage up upload an 80 MB presentation (it took ~20 min) we strongly suggest that the size of your presentation not exceed 5-10 MB. Some tips for lowing the size of a presentation include:
- lowering the resolution of photos in a program like Photoshop (most pictures need not be more than 200 KB JPGs)
- when pasting figures from other programs (e.g., Excel), use Edit-Paste Special-Picture(Enhanced Metafile) - retains all features but lowers the size substantially.
Large presentations, especially those with video clips, would be better off mailed, than uploaded.
3) Please make sure the filename of your presentation is as follows:
"lastnameoffirstauthor_firstinitialoffirstauthor.ppt" [all lowercase letters]
One for William C. Long will be: long_w.ppt
If you are giving two talks, put the number 1 or 2 after your first initial to differentiate the two, so William C. Long's second talk will be: long_w2.ppt
NAMING REVISED TALKS
If you upload a new version of your talk, you should name it Lastname_Initial_NEW.ppt so that we can know which version to download and which to ignore. If you send a 3rd or later version it should be NEW2, NEW3, etc.
4) Please ensure that you are using Microsoft PowerPoint version 1997 or later.
***MAC USERS: IMPORTANT!***:
Because there are often compatibility issues when transferring PowerPoint presentations between MAC and MS Windows computers we urge you to check your presentation on a PC (Windows machine), and to upload your presentation to our website (or burn the CD) from the PC you check it on.
5) Finally, please bring a copy of your presentation, either on a CD or on a USB memory stick (jump drive) to the meeting as a backup. We will also have computers available for you to practice your presentation on but you will need your presentation on CD or USB to do this.
If you using slides or overheads, please bring them to the meeting and give them to the A/V person 5-10 min. before the session you are in begins.

Posters
All posters should be no larger than 4 ft high x 4 ft wide (122 cm high x 122 cm wide). Posters will be displayed on panels that stand about 30 inches (76 cm) off the floor. Presenters can use either pushpins or Velcro (not tape) to secure posters to the panels.
The poster session will be Thursday, April 7 at 6:00 pm to 8:30 pm in Trinkle Hall on the William and Mary campus, which is a short walk from the hotel (directions and map available here). You will be able to put your posters up beginning at 12:00 noon on April 7th and will need to take them down immediately after the poster session.
